Privacy Policy

This Privacy Policy explains how HostOps ("we," "us," "our") collects, uses, shares, and protects information when you use our website, apps, and services (the "Platform"), whether as a property Owner, a Guest, or a visitor.

1. Information We Collect

Account information. Name, phone number, email address, and OTP-verification data when you sign up as an Owner or Guest.

Property and booking information. Property details, room types, pricing, availability, and booking records (check-in/check-out dates, guest counts, amounts) submitted by Owners and Guests.

Identity and payment-related documents. Where required for a booking or stay (for example, guest ID proof or payment confirmation screenshots for PG tenancies), these are stored via our cloud storage providers and are accessible only to the relevant property Owner and authorised HostOps staff for support purposes.

Payment information. When a payment is processed through our integrated payment processing partner, that partner collects and processes card/UPI details directly under its own privacy and security practices. HostOps does not store full card numbers.

Usage information. Pages visited, searches performed, and general interaction data, collected via our web analytics provider, to help us understand how the Platform is used and improve it.

Device and log information. IP address, browser type, and device identifiers, collected automatically for security and diagnostic purposes.

2. How We Use Information

  • To create and manage Owner and Guest accounts, including OTP-based sign-in.
  • To display property listings, process bookings, and enable direct communication between Guests and Owners.
  • To process payments where our integrated payment partner is used.
  • To send booking confirmations, updates, and — where opted in — WhatsApp or email communications such as re-marketing offers from a property Owner to a past guest.
  • To understand Platform usage and improve features, using aggregated analytics.
  • To detect, prevent, and address fraud, abuse, or security issues.
  • To comply with applicable legal and tax obligations.

3. How Information Is Shared

We do not sell your personal information. We share information only as follows:

  • With property Owners — Guest booking details (name, contact, stay dates, ID proof where applicable) are shared with the Owner of the property booked, since the Owner needs this to fulfil the stay.
  • With service providers — our cloud storage providers, payment processing partner, and web analytics provider, each of whom process data under their own security and privacy practices, solely to provide their respective service to HostOps.
  • For legal reasons — where required by law, court order, or to protect the rights, property, or safety of HostOps, our users, or the public.
  • Business transfers — if HostOps is involved in a merger, acquisition, or asset sale, information may be transferred as part of that transaction, subject to this Policy.

4. Data Retention

We retain account and booking information for as long as your account is active and as needed to comply with legal, tax, or accounting obligations. Identity documents and payment-proof screenshots associated with a completed stay are retained only as long as reasonably needed for the Owner's records and dispute resolution, after which they may be deleted upon request.

5. Your Choices & Rights

  • You may request access to, correction of, or deletion of your personal information by contacting [email protected].
  • You may opt out of promotional WhatsApp or email messages from a property Owner at any time by replying "stop" or contacting the Owner directly.
  • You may disable non-essential analytics cookies through your browser settings; this does not affect essential Platform functionality.

6. Children's Privacy

The Platform is not directed to children under 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can remove it.

7. Security

We use reasonable technical and organisational measures — including OTP-based authentication and access-controlled storage — to protect personal information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. International Data & Cross-Border Stays

As HostOps expands to list properties outside India (for example, in Thailand or the UAE), information about international Owners and Guests may be processed and stored on servers located in different countries via our service providers. We take steps to ensure such transfers remain consistent with this Policy.

We may update this Privacy Policy from time to time. Material changes will be reflected by an updated "Last updated" date above.
